Why your business needs a real INTRANET.

Let's take a typical business situation: A sales staff has to come up with a presentation for a key prospect as part of a time sensitive Request For Proposals.

Scenario 1: A meeting is scheduled in the conference room. This meeting turns into a time consuming brainstorming session and a second one is scheduled. This new one starts with a review of the best ideas from the first but the sales department ends up meeting two more times before coming up with a cohesive and competitive document. Because of its lack of a streamlined collaboration mechanism, the company ends up not meeting the deadlines and looses an excellent business opportunity.

Scenario 2: Right after hearing about the potential opportunity, the sales staff uses an Intranet to debate ideas that should be conveyed to the prospect. Thru this efficient intranet, the staff is able to distribute tasks, manage timelines, grab some key data from a virtual knowledge base and collaborate in real time on a set of joint document. The staff meets just once to finalize a set of sound competitive materials with which the organization wins the deal.

Building an intranet can enhance communication and collaboration, streamline information processing, and speed up decision making.

Communication

Even a very small company has communication issues. Most people find out what's happening thru verbal interactions. Information changes as it spreads, leading to confusion. If you have telecommuters, off-site branch workers, employees in the field or a "virtual" company, communication issues become even more challenging.

An intranet is the perfect place to post weekly reports, memos, announcements and goals. This way, information becomes available.

Productivity

An intranet reduces wasted time and promotes collaboration. Posting company policies and benefits or vacation days on an intranet eliminates the need for your HR department to reprint them whenever a small revision is made. And because the HR staff no longer needs to be consulted directly this allows for some extra time that can be devoted to key business processes. In the same respect, instead of starting each new document from scratch, a knowledge base can provide an organization with a centralized, organized and indexed repository for fast document retrieval.

But an intranet can be used for more than basic information. The beauty of an intranet is its interactivity. For instance instead of being buried under tons of paper stacks including purchase orders, vacation, meeting or project requests, your decision makers can authorize, oversee publish and manage business processes no matter their location -from home, at the office or on the road.

Collaboration

You may be thinking, "I communicate well with my employees and partners through email, meetings and postings on the cork board." Can you imagine even a small group of 5 employees working on a PowerPoint presentation? Let's take that same sales group we envisioned earlier.

Scenario: They've decided on three major ways they will increase sales. They are now working on a PowerPoint presentation. Because each member of the team has saved versions of the same presentation on their hard disks it becomes hard to know who has the most current version.

By using an intranet, employees or partners can work on a shared file, automatically keep track of revisions, and have a central location for the most recent file. This saves time and hard drive space.
